What we do with your documents — and what we do not.
Asiatis treats your documents as personal information under Quebec's Law 25 and the federal PIPEDA: encryption in transit and at rest, a non-disclosure agreement signed by everyone involved, and no retention after delivery unless you explicitly request it. Your documents are never used to train an artificial-intelligence model.

Our practices, in detail
Encryption
Files are transmitted over an encrypted connection and remain encrypted at rest for the duration of the engagement. Email exchanges are limited to project metadata; the documents themselves go through secure upload.
Retention
Documents are not retained after delivery unless you explicitly ask us to keep them — for a reissue or an update, for instance. A file uploaded without an order is deleted automatically.
Non-disclosure agreements
Every translator, reviser and project manager signs a non-disclosure agreement before accessing a client document. The undertaking survives the end of the engagement.
Sub-processors and hosting
Translations are performed by linguists under contract, never through a public translation platform. Site infrastructure and document upload are hosted with established cloud providers; the list of sub-processors is available on request.
No AI model training
Your documents are never used to train an artificial-intelligence model. Where an AI-assisted translation step is used, it runs through services configured not to retain or reuse submitted content, and the output is always revised by a human linguist.

When an engagement involves health information, two further regimes apply depending on the custodian’s province.

International clients
Clients outside Canada: for projects involving data belonging to European Union residents, we apply GDPR principles on minimization, retention periods and sub-processing. Our European operations run from asiatis.com.
